Launch a café loyalty program your team can actually run

A useful café loyalty program starts with a rule your barista can explain during service. Decide what earns a stamp, what the customer receives, and who records it. The card is the delivery method; your team makes the program work.
1. Choose one behaviour and one reward
Start with a clear eligible purchase or visit. For example, a café might award one stamp for a qualifying drink purchase and offer a specified drink after a set number of stamps. This is a design example, not a recommended threshold for every café.
Write the exclusions before printing the QR stand: which drinks qualify, whether multiple drinks earn multiple stamps, whether discounted purchases count, and which reward sizes or extras are included. Staff should not have to invent an answer at the till.
Check the reward's ingredients, packaging, preparation time and any sale it might replace. A reward with a high menu price is not automatically expensive to provide; a cheap-looking reward can still consume valuable staff time. Use the reward-cost worksheet with your own figures.
2. Prepare the card and the counter

Customers need a compatible device. Agree the launch date after supplying your logo, colours and program rules.
Place the join QR where a customer can scan it without blocking the payment terminal. Keep your menu, ordering system and POS as they are. Loyal-T Cards operates separately: a sale does not automatically create a loyalty stamp.
3. Rehearse three moments
Joining: “Would you like to collect stamps here? Scan this code to add our card to your phone's wallet. The reward and qualifying purchases are shown on the card.”
Recording: “Please show me your loyalty card so I can record this purchase.” Staff check eligibility and use the Loyal-T Cards scanner. Confirm the recorded result before moving on; do not record a second stamp simply because a customer repeats the request.
Redeeming: “You have a reward available. Let me check the reward details and redeem it for you.” Staff follow the configured redemption workflow and apply the reward at the till separately. Confirm both steps during training.
Practice a first visit, a repeat visit and a redemption with a team member before launch. Include an unclear eligibility case. Keep an agreed fallback for a customer whose device or card cannot be used; do not invent an unverified offline capability.
4. Check execution before judging results
In the first week, watch whether staff invite customers consistently and record qualifying activity correctly. Note queue friction and recurring questions. A card that nobody offers cannot tell you whether the reward is attractive.
At the end of the first month, review enrolments where available, recorded new and repeat visits, issued and redeemed rewards, and the cost of those rewards. Recorded repeat visits are not a count of unique retained customers. Compare matching periods and avoid attributing all recorded revenue to the program.
For an example of the evidence you can inspect, Peachbrown Café's April 2025 dashboard recorded 143 new visits, 113 repeat visits and AED 4,117 in loyalty revenue. Those are one café's recorded figures, not a forecast for yours.
Before opening: rules agreed; reward cost checked; card and QR checked on compatible devices; staff rehearsed joining, recording and redemption; exceptions documented; first review date set.
